Terms & Conditions

To ensure the smooth operation of our services and the consideration of our valued guests, we have implemented the following booking policy. By completing a booking, you confirm that you have read and agree to these terms.

Deposit

  • A $100 deposit is required to secure your booking.

  • Deposits may be paid by Tokyo Head Spa gift voucher; your credit card will not be charged further at the time of booking.

  • Tokyo Head Spa gift vouchers may be used for deposits. Salon Lane gift vouchers cannot, as they are issued by an external company.

  • The deposit is non-refundable, as it secures time and staff exclusively for your appointment.

  • The deposit is non-transferable to another guest.

  • Manual bookings made with our customer service team will be released within 15 minutes if the deposit payment link is not completed.

  • If you cancel or reschedule with more than 48 hours’ notice, your deposit may be applied to a future booking within 3 months.

  • If you cancel or reschedule with less than 48 hours’ notice, you will lose your deposit and a new $100 deposit will be required for any future booking.

Cancellations & Reschedules

  • Please notify us at least 48 hours in advance for any cancellations or reschedules.

  • To reschedule, you may edit your booking directly or contact our customer service team.

  • If cancelled with more than 48 hours’ notice, your deposit may be used towards a future booking for up to 3 months. Please note: we are often booked 6–8 weeks in advance.

  • If cancelled with less than 48 hours’ notice, 100% of the treatment cost will be charged and a new $100 deposit will be required for any future booking.

  • We reserve the right to update this policy and fee structure at any time. It is the guest’s responsibility to review our current terms and conditions prior to booking.

Treatment Changes by Guest

  • If your appointment is more than 48 hours away, you may change your booked treatment to any other treatment type, including an upgrade or downgrade, subject to availability.

  • Within 48 hours of your appointment, you may upgrade to a longer or more comprehensive treatment, subject to availability. Downgrades to a shorter or less comprehensive treatment will not be accepted within this window, as a therapist has already been allocated to your booking.

No-Show Policy

  • A “No-Show” is defined as arriving 15 or more minutes late without prior contact.

  • Failure to attend without notice will result in 100% of the treatment cost being charged.

Running Late

  • Please contact us as soon as possible if you are running late, so that we can avoid applying a no-show fee.

  • Appointment times cannot be extended if you arrive late. Your treatment will be shortened accordingly.

Public Holidays

  • Due to higher operating costs, a 10% surcharge applies to all appointments on public holidays.

  • This surcharge may not appear on your booking confirmation but will be reflected in your final invoice after your appointment.

Medical Eligibility

  • We are unable to perform Japanese head spa treatments on guests who are currently diagnosed with, recovering from, or undergoing treatment for certain medical conditions.

  • Please refer to our Medical Eligibility guidelines prior to booking.

Treatment Changes by Tokyo Head Spa

  • We reserve the right to update our pricing without notice. Any treatment pricing confirmed at the time of booking will be honoured.

  • We reserve the right to modify any aspect of the treatment process without notice.

  • If you hold a gift voucher for a treatment service we no longer offer, the voucher value may be applied to another treatment of your choice.

  • If we need to cancel your appointment for any reason, we will notify you promptly and offer an alternative appointment or a full refund of any booking fee paid.

Packages

  • Packages are valid for the specific treatment type purchased only.

  • Packages are non-transferable and may only be used by the purchasing guest. To gift a treatment, please purchase a gift voucher instead.

  • Packages are valid for 365 days from the date of purchase, after which they will expire.

  • Package pricing reflects a discount of 7% or 10% depending on the package selected.

  • We reserve the right to modify package terms and discount rates at any time.

Journeys

  • Journeys are non-transferable and may only be used by the purchasing guest. To gift a treatment, please purchase a gift voucher instead.

  • Journeys are valid for 365 days from the date of purchase, after which they will expire.

  • Journey pricing reflects a 10% discount.

  • We reserve the right to modify Journey terms and discount rates at any time.

Gift Vouchers

  • Tokyo Head Spa gift vouchers purchased through our stand-alone spas or website are valid for 3 years and may be redeemed at any of our locations.

  • Only Tokyo Head Spa gift vouchers with a valid code will be accepted.

  • Salon Lane gift vouchers may only be used at Tokyo Head Spa if purchased prior to May 2024.

  • Salon Lane gift vouchers cannot be used for treatments at our stand-alone spa locations. They may be used for treatments in our studio rooms inside Salon Lane only.

  • If a gift voucher cannot be processed at the time of payment, you will be required to settle your balance using an alternative payment method. Our customer service team will investigate and apply any applicable refund or credit once the issue is resolved.

Refunds

  • Product Refunds: Faulty or damaged products may be returned for a refund within 7 days of purchase, in their original condition. We do not offer refunds or exchanges for change-of-mind purchases.

  • Treatment Refunds: these will be assesed by or Customer Service Manager and General Manager. Where a treatment refund is approved, please allow 7–10 business days for processing. Our refund policy is in addition to your rights under Australian Consumer Law.

Lost Property

  • Tokyo Head Spa is not responsible or liable for personal property left behind or lost at any of our locations.

  • Please do not not wear any jewellery to your appointment.  If you do, items will need to be removed during your treatment and are at risk of being misplaced or lost.

Photography & Videography

  • Photography and videography are not permitted on the premises without the prior written consent of Tokyo Head Spa. This includes content captured for personal, social media or commercial purposes.
  • Where permission is granted, the filming or photography of our therapists — including any content in which a therapist's face or identifying features are visible — is strictly prohibited unless the individual therapist has provided their own express written consent.
  • Guests found recording or photographing without permission may be asked to delete the content and/or to leave the premises.

Cashless Payment

  • We do not accept cash payments. Please be prepared to pay by credit card, EFTPOS, Apple Pay, Google Pay, or a valid Tokyo Head Spa or Salon Lane gift voucher.

Australian Consumer Law

Our policies are designed to be fair and reasonable, and operate in addition to the rights and remedies available to you under Australian Consumer Law. We reserve the right to modify or update these terms as needed.
